You record yourself talking about a job, the app extracts the details (customer, hours, parts, etc.), and generates a PDF invoice. Speak naturally — like you're telling a coworker what you did.

No. The full record→PDF flow works without signing up. When you're not signed in, nothing about you is written to our database — your business profile (if you fill it in on Settings) lives in your browser's sessionStorage and disappears when you close the tab. Sign in only if you want invoices saved to your account for later.

Anonymous: zero database writes. You can record, review, and download a PDF; your business profile (optional) is stored in your browser only. Signed in: the same flow, plus invoices saved to your account history under /invoices and your business profile persisted to our database so it follows you across devices. We also keep a short activity log — which invoices you generated, when, and the total — for usage analytics; customer names and line items aren't in it.

Yes. Audio recordings are never stored — they're held briefly in memory during the recording session and deleted when you finalize the invoice. Communication uses HTTPS. Your data is encrypted at rest in our database. We never sell your data. If you use the app anonymously, even less of it reaches us in the first place. See the Privacy page for full details.

Currently free during beta. We may introduce paid tiers later for advanced features (unlimited history, integrations, etc.).

You can edit any field on the Review screen before generating the PDF. Nothing gets sent until you approve it.

Yes. The app works on any device with a browser. You can also "Add to Home Screen" on iOS or Android for an app-like experience.

Very accurate for clear speech in normal noise. Speak at a normal pace, hold the phone within 6 inches of your mouth, and you should get clean results.

You can set your business name, contact info, license number, and tax defaults in Settings. We're working on more customization options.

We use PostHog, a product-analytics tool, to collect anonymous usage data — pageviews, button clicks, and which features people use. It helps us improve HandInvoice during beta. We do not record or replay your screen, we run no advertising trackers, and we never sell or share your data. This works the same whether or not you're signed in. PostHog stores an anonymous analytics ID in your browser.

Yes. HandInvoice is built by an independent developer. It is free to use during the current beta; a paid tier may be added later for advanced features. There is nothing to install and no account is required to generate an invoice. Signed-in invoice data is stored in a MongoDB database and authentication runs through Clerk.

Yes. HandInvoice uses OpenAI's Whisper model to transcribe your voice and GPT-4o to extract structured invoice details (customer, hours, materials, tax) from the transcript. Your recordings and transcripts are not used to train AI models. You review and can edit every field before the PDF is created.
